What information we collect

When you enquire

  • Your name, email address and telephone number
  • Where you want to go, when, how many people are travelling and roughly what you want to spend
  • Anything else you choose to tell us in your enquiry, by phone, by email or over WhatsApp

When you book

  • The full name, date of birth and nationality of everyone travelling
  • Passport number, issue and expiry dates, and in some cases a copy of the passport photograph page, where an airline, hotel or government requires it
  • Your home address and billing address
  • Payment card details, taken to process your payment
  • Emergency contact details
  • Any frequent flyer or loyalty numbers you give us
  • Your travel insurance details

Information that needs extra protection

Sometimes you will tell us things that count as special category data under data protection law, and we treat them differently:

  • Dietary requirements, where these reveal a health condition or a religious belief
  • Mobility needs, medical conditions or disabilities, where an airline, hotel or transfer company needs to know in order to look after you properly
  • Anything you tell us about a health matter that affects your travel arrangements

We only collect this if you give it to us, we only use it to make the arrangements you have asked for, and we only pass it to the supplier who needs it. We rely on your explicit consent to do this, and you can withdraw that consent at any time — although if you do, we may not be able to make the arrangements concerned.

We do not have a comments section on this website and we do not collect account registrations from visitors.

Who we share it with

Arranging a holiday means passing your details to the companies that actually provide it. We share only what each one needs.

  • Airlines, for your flight bookings and for the advance passenger information governments require
  • Hotels, resorts and lodges, for your room booking and any special requests
  • Transfer companies, car hire companies, rail operators and local guides named in your itinerary
  • Tour operators and consolidators we book through
  • The Civil Aviation Authority, in connection with your ATOL protection
  • Payment processors and our bank, to take and reconcile payments
  • Travel insurers, where you buy insurance through us
  • Our accountants and, if needed, our legal advisers
  • Our IT and email providers, who host our systems on our behalf
  • Government authorities, where we are required by law to do so

We do not sell your personal information to anyone, and we do not pass it to third parties for their own marketing.

Sending your information abroad

If your holiday is outside the United Kingdom, your information will be sent to the airlines, hotels and suppliers in the countries you are travelling to. Some of those countries do not have data protection laws equivalent to the UK’s, and in some cases their authorities may require access to travellers’ data.

Where we make a transfer like this, we rely on the exception in data protection law that allows a transfer that is necessary to perform a contract with you, or to take steps at your request before that contract. In plain terms: we cannot book you a hotel in Japan without telling the hotel in Japan who is arriving.

Where we can, we use suppliers who apply appropriate safeguards, and we send only the minimum each one needs.

Cookies

This website uses cookies. Some are needed for the site to work, and others are only set if you agree to them.

Marketing

If you have booked with us or asked us for a quote, we may email you about similar holidays. Every email we send has an unsubscribe link, and you can also tell us to stop at any time by replying or by calling us. We will act on it straight away.

We do not send marketing messages by WhatsApp unless you have asked us to.

Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal information we hold about you
  • Have it corrected if it is wrong or incomplete
  • Ask us to delete it, where we do not have a legal reason to keep it
  • Ask us to restrict how we use it while a question about it is resolved
  • Object to us using it where we rely on legitimate interests
  • Ask for it in a portable format, where we hold it by consent or under a contract
  • Withdraw consent at any time, where consent is what we rely on

To exercise any of these, email [email protected] with “Data protection” in the subject line. We will reply within one month. There is no charge.

Please note that we cannot delete information we are legally required to keep, such as the financial records behind a booking.

How we protect your information

  • This website is served over an encrypted connection
  • Access to booking records is limited to the people who need it to do their job
  • Payment card details are processed through our payment provider and are not stored in full on our systems
  • Passport copies are deleted once the arrangements requiring them are complete

If a data breach happens that is likely to put your rights at risk, we will tell you, and we will report it to the Information Commissioner’s Office within 72 hours as the law requires.

Children

We arrange family holidays, so we hold the names and dates of birth of children who are travelling. We collect that information from the adult making the booking, not from the child, and we use it only to make the travel arrangements.

Complaints

If you are unhappy with how we have handled your information, please tell us first and we will try to put it right.
